Hargreaves Industrial Services Ltd are a quality assured contracting company delivering EPC turnkey projects, framework contracts and term service operation and maintenance contracts across a wide range of industrial markets in the UK.
We have a vacancy for a Resources Co-ordinator to provide efficient, accurate and confidential administrative support across the Resources function, including, but not limited to, Human Resources, fleet administration and associated business support activities.
The role is responsible for ensuring the effective administration of employee lifecycle processes, divisional fleet operations and compliance activities, maintaining accurate records and supporting managers across the division. You will support compliance with employment legislation, company policies and data protection requirements while delivering a professional service to employees and managers across the business.
The role briefly encompasses the following duties: -
- Maintain accurate and up-to-date employee records, ensuring compliance with GDPR and company policies.
- Input, update and maintain employee data within HRIS system, ensuring data accuracy and integrity.
- Prepare contracts of employment, offer letters, employment-related correspondence and other HR documentation.
- Coordinate all aspects of onboarding for new employees, including pre-employment checks, right to work documentation, induction arrangements and new starter administration.
- Administer employee changes including promotions, salary amendments, contractual changes and employee benefits.
- Coordinate employee exit processes, including issuing leaver documentation, conducting system updates and maintaining employee records.
- Support recruitment activities by advertising vacancies, managing applications, coordinating interviews, obtaining references and preparing offer documentation.
- Act as the first point of contact for HR-related queries, escalating matters where appropriate.
- Provide administrative support for employee relations matters, including disciplinary, grievance, absence management and capability processes.
- Prepare meeting documentation, correspondence and confidential records relating to employee relations cases.
- Produce regular HR reports and management information relating to workforce metrics.
- Maintain personnel files and conduct regular audits to ensure compliance and accuracy
- Support payroll processes by providing accurate employee information and documentation within required timescales.
- Maintain and administer the company's online training system and learning records.
- Monitor mandatory training completion and provide reports to managers as required.
- Coordinate training activities, inductions and development programmes.
- Coordinate and schedule Occupational Heath medicals, acting as the key point of contact for employees, managers and providers while ensuring timely processing and accurate record keeping.
- Support HR projects and continuous improvement initiatives to enhance processes and service delivery.
- Raise purchase orders and process goods receipts in line with company procedures.
- Administer driving licence verification processes and maintain auditable licence records.
- Manage short-term vehicle hire arrangements and support operational vehicle allocation requirements.
- Administer fuel card ordering, issuing and monitoring processes and maintain associated records
- Coordinate the administration of vehicle fines, maintaining records and producing periodic reports for Group Fleet.
- Maintain confidentiality at all times when handling sensitive employee information.
- Undertake any other reasonable duties commensurate with the role.
The ideal candidate will possess the following skills/experience/ attributes:-
- Previous experience in an administrative role, preferably within an HR environment.
- Strong organisational and time management skills.
- Excellent attention to detail and accuracy.
- Strong verbal and written communication skills.
- Ability to handle confidential and sensitive information with discretion.
- Proficient in Microsoft Office applications, particularly Word, Excel and Outlook.
- Experience of maintaining databases and electronic record systems.
- Ability to prioritise workload and work to deadlines.
- Customer-focused approach with excellent interpersonal skills.
- Ability to build effective working relationships at all levels.
